3. Is there a maximum or minimum number of students that must go?
Absolutely not! We will provide the same package for one student as we would for 1000! If you have enough students to fill a bus, we will pick you up right at your school. If only a few students want to join, we will come up with a central meeting location with other schools in the area.

4. Do we need to send chaperones?
Chaperones are encouraged to come, but are not required. We provide 1 staff per 10 students. The staff is available 24 hours a day to all students. Many parents and teachers have traveled with us in the past and are always welcome.

5. Are the students required to use the provided transportation?
There are 3 different packages to choose from when attending GradFest, 1 of which allows you to provide your own transportation. If students wish to do the full weekend trip then they will be required to use the provided transportation.

6. We have Prom/AP exams/sporting events that weekend. Is there anyway we can still come?
Of course! We can work around whatever schedule you already have planned! In addition to the weekend trip, we also provide day packages in which you would depart and return in the same day, either Saturday or Sunday. If you need to depart later in the day, we can work with that as well.

7. What if I find a better price for the same package?
You won't. We are so confident of this that if you find a better deal on a comparable package with another legitimate company, we'll not only match that price, we'll beat it by deducting 150% of the difference!

8. Are grad break packages school-sponsored trips?
It depends on the trip. GradNite, Grad Bash, and GradFest are typically school sponsored celebrations. Although other domestic and international grad break packages are not school sponsored, we maintain great relationships with administrators, teachers, and parents who choose to travel with us each year.

9. Are my meals included in the package?
Yes! Pizza and refreshments will be available at the park Saturday evening during the events for students to eat at their leisure. Breakfast will also be provided at the hotel before departure for the park on Sunday.

10. How do I organize GradFest?
The first thing to do is to talk to as many students as possible and get them excited for the celebration of their lives! Call your GradFest Coordinator at 877-GRADCITY and he or she will send registration forms to hand out to the students. If you are planning a parent/student meeting, we will also make sure a GradFest Coordinator is present to provide details and answer questions.

11. What are some good ways to get the words out around school?
The best and most important thing you can do is to get as many kids as you can inform and excited about the trip. Use the sign-up sheets to get names and email addresses and draft an email to inform the students/parents of the specifics (when and where the meetings are going to be, as well as when the deadline for deposits will be). Make school announcements and call every student on your sign-up sheet and confirm that they are coming to the group meeting. It's only one meeting and a half hour of their time ... make sure they know it's worth it to come! After that, word of mouth will do your job for you!

12. Do you offer any incentives for the student organizer or faculty sponsor?
We offer the best incentive program in the industry! Get 1 free trip (based on quad occupancy) per 15 trips sold. There is no limit to the trips you can earn! Call your GradFest Coordinator at 877-GRADCITY for details today!

13. Some of my classmates want to travel to other destinations. Do we all have to travel together?
We want every traveler to have the ultimate grad break experience, so we can help you organize more than one trip at your school and you will earn benefits from all the trips you help organize. As you now know, GradCity.com offers more destinations than any other company in the industry!

14. Why should we reserve our spot now?
There is high demand for GradFest. All reservations are accepted on a first come first serve basis. Booking early ensures your spot on the trip and guarantees you the best price, early booking incentives and gives you longer to pay.

15. When will I receive my trip confirmation and payment schedule?
Once you turn in your registration form and deposit to your organizers and these forms have been received at the GradCity.com main office, your invoice will be sent out. You will receive a written trip confirmation via mail in 7-14 business days. If you provide us with an accurate email address, you will also receive a confirmation via email in 3-5 days.

top

16. When will I receive a finalized itinerary for my trip?
Your finalized itinerary for GradFest will be released 4-6 weeks prior to travel. This itinerary will include your departure times from your school as well as approximate time of arrival at the end of the weekend. This is also when you will receive all emergency contact info, so if you are planning a pre-departure meeting with your class, please plan accordingly

17. How does my student choose their roommates?
Students choose their own roommates for all destinations. A roommate list will be sent to each organizer approximately one month before final payment. Students will be allowed to choose their roommates as long as all roommates pay in full. Should any or all of your student’s roommates cancel, they are responsible for finding new roommates or paying for the increased price due to occupancy changes. Occupancy prices are based on maximum occupancy (usually 4 per room). Your student has the option to choose fewer roommates and pay the difference.

18. Do adults pay the same price as students?
Yes, the price is the same for everyone. If you prefer to have a double or triple occupancy, call customer care for applicable charges. We do offer resorts that cater to adults, if you wish to stay at a property separate from where your student is staying. We have family and faculty hotels available.

top

19. What kind of security do you provide?
The safety and security of your student is our number one priority. The staff that we provide will be available to the students 24 hours a day. Most of our staff is bilingual, they are trained in CPR and First Aid, and they are equipped with cell phones and 2 way radios for immediate communication.
